This policy explains how Body Mind Medical collects, uses and protects your personal information, including the Well Man Clinic, the Well Woman Clinic and Body Mind Energetics.
Who we are

Information we collect
- Contact details you give us when you call, email or book, such as your name, address, phone number and email address.
- Health information you give us for an assessment or programme, such as your medical history, symptoms, questionnaire answers, examination findings, lab results, medication and lifestyle.
- Booking and payment records, such as appointment dates and invoices.
- Event bookings for classes, seminars, workshops and retreats, including any health information you share so we can adapt activities safely.
Symptom profiles on this website
When you complete a symptom profile on this website, your answers are stored only in your own web browser on your device. They are not sent to us. You can clear them at any time using the "Clear my answers" button. If you choose to share your results with us, for example by bringing a printout, we treat them as part of your health record.
How we use your information
- To provide assessments, programmes, lab testing and follow-up care
- To arrange and manage appointments and event bookings
- To communicate with you about your care
- To refer you to your GP or another health professional when needed, with your knowledge
- To meet our legal, insurance and professional record-keeping obligations
Our legal basis
We use your contact and booking details to provide the service you have asked for (contract), and to meet legal obligations. Health information is special category data. We process it to provide health care under the responsibility of a professional who owes you a duty of confidentiality (UK GDPR Article 9(2)(h)), and with your explicit consent where that applies.
We will only send you marketing, such as our newsletter, if you have chosen to subscribe. You can unsubscribe at any time.
Who we share it with
- Laboratories that process your samples, in the UK and the USA. Samples sent to US laboratories carry the identifying details the laboratory needs. We share only what is necessary, and use laboratories with appropriate safeguards for international transfers.
- Service providers who help us run the clinic, such as our booking system, email provider and payment processor, under contracts that protect your data.
- Your GP or other health professionals, when a referral is needed, normally with your knowledge.
- Authorities, only where the law requires it.
We never sell your information.
How long we keep it
We keep clinical records for the period recommended by professional guidance, normally at least 8 years after your last appointment, and longer where the law requires. Event and enquiry records are kept only as long as needed.
Keeping it secure
We store records securely, limit access to those who need it, and use secure systems for bookings and questionnaires. Please don't send detailed health information by ordinary email.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that is wrong
- ask us to delete or restrict use of your information, where the law allows
- object to how we use it, and withdraw consent where we rely on it
- ask for your information to be transferred to another provider

Complaints
If you are unhappy with how we have handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
